How to Get the Bar Right at Your Festival or Event

Ask anyone what spoiled a festival and the bar queue is usually near the top of the list. Get the bar right and people stay longer, spend more and come back next year. Here’s what we’ve learned running bars at busy events across Scotland.

1. Plan for your busiest ten minutes, not your average hour

Most bars cope fine for most of the day. The trouble comes in the rush: the interval, the end of the heavy events, the minutes before the fireworks. Plan your serving points around those peaks. More hatches and more staff at the right moment do more than one big bar that’s quiet half the day.

2. Put the bar where the crowd already is

A bar tucked away at the edge of the site sends people on a long walk and builds a queue. Position bars beside the stage, the arena or the main viewing area, with clear space for the queue and an easy route out. A self-contained unit like our Star Bar can park exactly where it’s needed.

3. Sort the licence early

In Scotland, most outdoor events need an Occasional Licence for the bar, and councils need time to process it. A good bar operator will have a Personal Licence holder on every bar and handle the application for you, so build that into your timeline months ahead, not weeks.

4. Think about your guests, not just the crowd

Sponsors, patrons and VIPs expect something a bit special. A separate hospitality bar, like our vintage Horsebox Bar, gives them their own space with gin, whisky or Prosecco, without taking staff away from the main bar.

5. Check the boring stuff

Power, water, waste, card payments and paperwork make or break the day. Ask your bar supplier whether they bring their own power and take their own waste, how many card terminals they run, and whether their public liability certificate and risk assessments are ready for your event file.

6. Choose a model that suits you

You don’t have to hand over the whole bar. Some organisers want a fully managed bar. Others have a beer sponsor and just need a bar unit and trained staff, or a dry-hire unit for their own contractor. Pick the model that fits your event and your sponsors.
